The challenge
Fleet operations lives or dies on knowing who is driving, who is resting, and who is legally out of hours — and the client's managers were reconstructing that picture every morning from a tachograph export, a rota spreadsheet, and a group chat. Duty status was always slightly out of date, utilisation was only calculated in hindsight, and reaching a driver meant looking their number up somewhere else. They wanted a single board where every driver sits in a duty column that reflects current reality, each card carries the hours, distance, licence class, and performance rating a manager actually acts on, and contacting a driver is one press away. It had to work in Spanish for Spanish-speaking operations staff, and it had to stay readable at a glance on a wall display in a room where nobody has time to hunt through menus.
Our approach
Made the duty board the product — a single always-on view where every driver sits in a live duty column with hours, distance, licence class, and rating on the card, instead of being reconstructed from a tachograph export and a rota spreadsheet
Modelled duty status as the organising principle rather than a field — driving, resting, and off-duty are the columns themselves, so compliance state is the first thing a manager reads and the board doubles as an hours-of-service check
Shipped the entire operator-facing product in Spanish as the primary language — terminology, date and number formatting, and dispatcher vocabulary reviewed with the client’s own operations staff rather than machine-translated from an English original
Designed every card around the next action — call the driver or log a break without leaving the board, so the manager acts in the same view where the problem surfaced
